00:00Tired of clunky PDF tools that never seem to do what you want them to? Have you ever opened up a PDF and thought, "Why can't I just edit this like a regular document?" Or maybe you've spent hours scrolling through pages trying to find that one key detail? Well, Adobe Acrobat changes all of that
00:14From powerful editing tools to an AI assistant that can actually summarize and explain your documents to you
00:20This is a game-changer
00:26Hi everyone, Jamie here from Teachers Tech
00:28In this video, I'll show you how to use Adobe Acrobat
00:30Perfect for beginners and intermediate users
00:32We'll cover editing PDFs, organizing pages, adding comments and signatures, and much more
00:39I'll show you how to use AI Assistant that helps you research, summarize, and understand your documents
00:44Thanks for Adobe for sponsoring today's video
00:46Try Acrobat for yourself with the link in the description
00:49Let's jump in
00:49So, before we dive into all the features, let's quickly talk about what Adobe Acrobat actually is
00:56Adobe Acrobat is a powerful tool for working with your PDF files
01:01It's not just for opening and reading PDFs
01:03It lets you edit text and images, organize pages, add comments and signatures, and now even uses AI features to summarize and understand your documents
01:11Whether you're a student, a professional, or managing business files, it gives you way more control over your PDFs
01:17There are two main versions you can choose from
01:21Acrobat Standard gives you the essentials, editing, combining files, converting to and from PDFs, and basic e-signatures
01:28Acrobat Pro takes it a step further with extra features like comparing documents, redacting sensitive information, and advanced security tools
01:36Now, you might be wondering, "How is this different from the free Adobe Acrobat Reader?" Well, the free reader only lets you view, print, and make simple comments
01:45If you've ever tried to edit a PDF in Reader, you've probably noticed you can't
01:49Acrobat Standard and Pro unlock all those editing, organizing, and AI-powered features that Reader doesn't have
01:56And the best part is Acrobat isn't tied to just one device
02:00You can use it on your desktop through a web browser or on the mobile app for iOS and Android, so you can work on your PDFs wherever you are
02:08Let's start by opening Adobe Acrobat
02:10You can see I have the shortcut right here on my desktop
02:14I also have a folder with some PDFs on that I'll be demoing from
02:16When I open this up, the first thing that I just want to point out, I'm already logged in
02:22It automatically logged in to my account and you will need to log in to Adobe Acrobat to get it to work with your subscription
02:29Now, if I click on it, you can see what account I'm logged in
02:33I can manage my account from here
02:36Now, if I move over to the left right here, I want to point out this
02:37When we open up Adobe Acrobat, we're going to be on the home page
02:42So, with the home page, you'll get all these different shortcuts here that you can quickly access any of these and you can go back to the recents here
02:50And I'll talk a bit a little bit more about these later on
02:54Now, something that's overlooked in Adobe Acrobat is the menu
02:56It's right here
02:59So, if I click on this, you can see where I can open files from PDFs
03:01I can open recent
03:04I can create files from here, too, from a PDF file, from scanner, from web page
03:09There's multiple ways you can do this in Adobe Acrobat
03:14Uh we can combine our save or save as are here
03:17Now, I'll show you some other ways, too
03:19If I go over to create and I'm just hovering over top of it right now, you can see I can create a PDF from here
03:26I can combine files or open files
03:29If I just click off, I'm going to click on create
03:31If I click on create right away, it just brings me to this
03:34This is where I can select files, multiple files
03:39So, again, a different way to open up your files
03:41I want you to point take a look at this right here
03:44Choose from docs, so that would be Word, Excel, text, etc
03:49If you're wondering what you can open with Adobe Acrobat, just click on this for more formats
03:54They're going to give you a large list
03:56This is something that makes Adobe Acrobat so great to use
04:00Now, again, if I click on the home, it brings me back
04:02If I go over here to see all tools, this will really get you to get an understanding of how powerful this is
04:10So, when I click on this, here again, we can open files or start from different tools that it has
04:17So, notice here's the AI Assistant generative summary, all my editing
04:21I like how they're grouped into these different things
04:23So, this is all the ways that I can edit a PDF, organize, add rich media, prepare a form
04:29I have a different video that I'm going to connect down below in the description
04:33I'm not going to talk about that in this video
04:35So, check out that other video if you want to know how to create a form
04:38We can convert, create, e-sign, all the different things that you can do with signatures
04:43We can protect
04:45Remember I what I said about the differences between Pro and Standard
04:50Pro will give you a lot more options for protection of your files
04:55Share, review, prepare, all these different things
04:56So, this gives you a real understanding what Pro can do for you
05:00There's a close-up here
05:00We can click back to home, and this is a little bit about the navigation
05:06We can change our view here as well
05:08So, once we know where everything is there, we can start with first some editing
05:15Let's start with doing some basic editing of some text and images in a PDF
05:19So, I need to open a PDF
05:19If I've already opened it before, it's going to be in recent
05:23And the one I am is going to open is there
05:25But, if it's not there, I can go to menu and open, and here it is right here
05:31So, when I double click on this to open, notice I get this tab here
05:36I can still navigate back to home, and the tab is still here
05:38I can click on star
05:41If this is going to be an important document, if I wanted to have that easy access to get back to start, I could do it across all devices or only on this device and hit okay
05:51If I close this down, that's how you can close out
05:53You can also just take a PDF that's on your desktop or in a file and drag it over and it's going to open in Adobe Acrobat as well
06:01Now, how do you make these basic edits? It's super easy
06:03If I look over on the left here and go to edit a PDF, as soon as I click on it, notice I get the lines across all of this
06:12So, where the fonts are as I scroll down, I want to point out a little bit about navigation in here
06:20If I look at the tools down here, I could jump to the next pages very quickly
06:24I could zoom in and out just by clicking and you can see the drag feature depending on how you want to make those changes
06:33So, if I go back up, I'll zoom out a little bit more here and I want to make a change to this
06:40So, right away, I don't want it to say 24 anymore, I want it to say 25
06:42All I have to do is click in
06:45So, as soon as I click in, you can see it's flashing here
06:49I could hit backspace and just put my five
06:51It shows me over here under the format text that when I clicked in, it just picked up that font that it was using, the color that it was using here
07:02So, here where it says "spill" and I wanted to say "small", if I click in there, notice it makes that quick change to Arial and 17 and I can make those changes like that
07:11Very easy, just like word processor
07:13Open up a PDF and just start editing to it
07:16You have some other options as well
07:19You'll notice that there's text alignment in this
07:21We have our if we want things to be bold
07:24So, if I highlight something in here and I go and click on bold, you can see how you can make those quick adjustments
07:33And we have our paragraph spacing and our character spacing
07:36You can make all those adjustments here
07:40Now, the next thing I want to show you is that if I click anywhere on the outside of this, then I have the whole this whole spot selected
07:48I can go ahead and do things like hit delete on my keyboard and it will remove that whole block
07:55If I want it back, remember there's the undo up here or I can use control Z
08:00So, just like other products, remember the undo
08:03Now, you can also make quick edits to images
08:06So, in this case right here, if I click on this one, notice as soon as I click on it, I get options
08:14I could do things like crop
08:14As soon as I click crop, notice over here this is highlighted as well
08:20So, there's different places you can get to the same thing
08:23I get these cropping handles that I can pull in and start changing the image
08:29And I can always move it back as well
08:32Notice if I just drag it back or using the control Z a couple times will put it back to where I would like
08:38Now, the other thing that you can do is edit the image
08:43So, if I click on edit the image, so you could take any of these, it's going to open it in Adobe Express
08:51It's connected to Adobe Express
08:51And if you've used Adobe Express before, you'll know all the great things you can do
08:57I'll connect it to that video of Adobe Express if you want to learn more about that as well
09:00But maybe I want to do things like remove a background or insert an object or even just make some adjustments to the color
09:07You can see so I've made a quick change to the color here
09:12I'm going to hit apply and just like that, I've edited that image
09:17I can actually even generate an image in here using AI
09:20So, I can go through, give it a prompt, and it will place that in
09:27Another thing I like, if you have a picture you want, you can replace the image
09:31So, if it's it's going to stay in the same place
09:33So, if you don't want to mess around with making things move or make sure it fits
09:37If I click on that, I could go grab an image from my computer and it's going to place this in
09:42So, all these different things that you can edit your font or edit images very quickly
09:49And the thing I want to point out now now that you've edited, make sure you save your PDF
09:53So, you can go ahead and go up here and notice we have the save
09:59If we want to keep the same name, I can click this
10:01If I wanted to have a different copy, I could go save as
10:02So, if I click save, this is all saved now
10:08If I just exit out and I'm going to open it up again
10:11So, if I go back to open, and you'll see that all the saves are made that I just did to it
10:17I showed you how to edit text and images in a PDF, but you can also add new as well
10:23So, if I go back to edit a PDF, we have add content
10:28If I want to add text, I can click on text and I can go and choose my different font and color just like I showed you before and size
10:34Then I can just drag a text box
10:36I click on it and how where do I want my text box? And then I can just type inside of it
10:41If I move my mouse to the to this line where the text box is, I can move this
10:48If I click and hold, I can grab it and put it in different places
10:52This is right here
10:55This is a rotate one
10:55So, when I hover over and once you get that symbol of the curved arrows, I can click and hold hold and I can rotate this as well
11:02Remember the undo
11:05You can also add images
11:05So, if I go back to my image here
11:09So, under content, click image this time
11:12I could choose an image just like how I chose this one here
11:18That was to replace, but you could choose a brand new to add or I could generate an image as well
11:21This goes to Adobe Express and using AI, I can type in whatever I would like
11:26In this case, panda eating ice cream
11:28I can say is it it's content type
11:31You can make all these changes, click generate, and then in a few seconds you're going to get an AI generated image
11:37So, this can save you a lot of time when you're when you need to have those images right inside
11:44So, you pick the one you like
11:46We can hit apply
11:49You'll see it's attached to my mouse, and I would try to find a spot
11:51As soon as I find one, I'll click here
11:53I can keep moving it around as I would like, so I can drag it
11:58I can grab the handles
12:01I can make it smaller
12:03This is the rotate here
12:03And then I can put it wherever I would like on the page
12:08So, that's how you add some more content
12:10What I want to show you now is how you can add some links into your documents
12:14So, if I go back to edit a PDF, and this time I'm going to go to more under the add content
12:20And you can see that there's links
12:23So, I'm going to add a link to a website or file
12:25What I need to do is just click on this add or edit a link
12:31As soon as I do that, you'll notice I get the crosshairs
12:33And let's say I put it right here
12:35So, I'm drawing where the link will be, and I'll just put it on this one spot
12:38Now, what do I want to happen? Well, a visible rectangle or invisible
12:43Line style, dashed, solid, underline
12:46So, you can pick this customization as you want
12:51What do you want to have happen? Do you want to open a web page, or do you want to open a file? Maybe I'll open another file
12:57So, if I was going to put open a web page, I put next, and I can just put the URL of the web page in here
13:02So, now, notice if I go back to all tools and viewing it like this, there's the dash around the rectangle here
13:13As I hover over, I'm getting the link one here
13:15So, as I click on it, it opens up
13:18It just opened up on my other window here
13:22If you want to remove these, you can go back to edit a PDF
13:24You'll see that we can go back to the link options on this
13:31Add or edit a link or remove web links
13:34So, if it was a file that wouldn't be a web link, so you would have to go to add it or edit and then delete it
13:37But, if I remove all web links and it's going to go through, hit okay, okay, and now it's gone
13:45So, just another thing that you can add to your PDF documents
13:47But, you'll see you can add other things like buttons where you could click a button and it will open a file or website or make a sound, all these different options
13:58Now, the other way I want to show you how to navigate if if we move over to the side over here, I want you to take a look at bookmarks
14:04So, if I click on the bookmarks here, I if I have a really long document, I could set bookmarks to help navigate
14:12So, if I was saying, let's say on this first, I'll just highlight this here
14:15And if I click on the bookmark, notice that I could call it whatever it wants
14:22So, even if I said just page one, and I'm going to go down now and I'll just highlight this here
14:30And I'm going to click on this and I'll call this page two
14:33And as I go through now, if I click on page one, it just jumps up to that part that bookmark where I put it in
14:38So, if you have a long document that you're trying to go through, this way would be an easy way to navigate
14:44Another thing I want to point out are the thumbnails over here
14:49So, if I click on here, it shows you the different thumbnails and you have some functionality here of what you can do
14:56So, if I grab this page, drag it, notice how I can alter things around
15:00We have the delete here
15:00We have the rotate just like I showed you before
15:04Just some other ways to change your PDF around and navigate in Adobe Acrobat
15:10Now, what about editing pages in the order or adding more PDFs? Take a look at this
15:16So, if I go back to edit a PDF, we have organized pages
15:19Up here, we can do a few things
15:22We can go rotate a page right
15:24So, if I click on it, I can and I'll zoom out so you can see this
15:29So, if I zoom to width, you can see how it turned that page
15:31Now, I don't want it to the right
15:33I just wanted to show you how to do that
15:34I just undid
15:36We can even crop pages
15:36So, if I go ahead and select a certain part of this and hit enter, I can go ahead and hit okay and it just made that crop to it
15:49So, you can make these quick adjustments
15:51I'm going to go to undo again
15:53We can delete a page or we can extract a page
15:56What I like to do is go to organize page
15:59So, when I get to organize page here, now I only have three pages
16:04I can quickly change the orders of these
16:06So, if I wanted three to be before two, I can just simply drag it
16:12And if I resaved it, that would be the new order
16:14Whenever I click on any pages, notice I can go ahead and delete here
16:20I can do the rotate here as well
16:23And we have more options to insert from file, clipboard, scanner, web page, or I could cut or copy as well
16:28If I wanted to have another PDF in here, what I could do is go to insert
16:38I could go from file
16:38I'll go to the same one
16:40I have another PDF in here and hit open
16:43And where do I want it? After or I could go before
16:46I'm going to leave it here
16:49Page number, you can see
16:51I'm going to hit okay
16:51It placed this PDF right inside of here
16:53And I could still make the change to drag it wherever I would like
16:58Adobe Acrobat makes it so easy to manage your pages from deleting to organizing everything, combining files
17:05Like I've said many times, you can do the same thing in multiple ways in Adobe Acrobat
17:10For another example, if I go to organize pages, you can see how it brings me to the same page that I was on before to organize these
17:20Let's spend a little bit of time on the commenting and markup tools in Adobe Acrobat
17:24If I go up to the very top here, you can see I've showed you the select tool
17:29Whenever I see a little arrow on these, that means there's more
17:33If I click and hold on my mouse, it will show me
17:34If you want to know the difference between select and pan, I'll show you
17:38So, if I'm under select, I'm going to hold control and on my mouse, I'm going to scroll up, so it's going to zoom in
17:44But, if I move over to pan, what pan does allows me to grab and if I'm holding down on my mouse, I can move the page around this way
17:51So, that's between select and pan
17:54I'm going to zoom out a bit
17:56Now, let's start with the comments
17:58We have comments right here
18:00If I click on this little triangle, it shows me all the different types of comments we can add
18:03I'm not going to go through every one of these, but I'll go through a couple as an example
18:08So, under this first one, we can just add a comment, general comment to anything
18:12So, if I go ahead and even if it was adding something right here, as soon as I let go of what I highlighted, I can add my comment
18:22So, it could be, you know, I could say change the title, and I could actually even if I click on this, I could go and assign it to someone else in the organization, and they would be notified that that they are supposed to make this change
18:37Then, I can go ahead and post it
18:39So, you'll see now, if I hover over top of it, I get this comment down below where it says change title
18:44Now, another thing you can do, if I go back to the comment, and I'll just use another example, we'll go to replace selected text
18:53And then, you'll see the difference between each of these
18:55If I select this one, now if I was just highlighting this area through here, notice that it's a strike through
19:01So, it looks like a replace
19:03I would could make a comment and tell them to change with something, and then use the @ here to make sure that the right person gets noticed of it and I can go ahead and post it
19:15And then you'll see as I hover over different ways how the how you how you can see the different comments in it
19:22Now, if I go back, you can see all the different ones that you can go from an insert text to even attach file ones
19:30As we continue on, these are going to be your quick markups with the highlights and underlining
19:35So, we can change the color very quickly
19:37If I on highlighter, I could just move my mouse over
19:39Here's the color right here
19:42So, if I wanted it to be a different color, you can see how quickly I can make that adjustment to it
19:47If we look at underline, we can go and just do the same thing of highlighting
19:52It gets underlined and we have the quick strike through
19:54This where sorry, the if I better go to strike through, this strike through right here gives it and then the color is in
20:03So, those are pretty easy to add in
20:06Other ways we can add some markup is through these
20:09We could simply draw
20:09So, if we go to draw, you can see how I can draw whatever I would like
20:14But if we go through the entire list, we can add the different shapes
20:19So, if you need it to point to something, you can add those to it
20:24You can also see that we have a text callout
20:28So, if you wanted to bring attention to something like this and then we can go ahead and write in here and point to something
20:35I'm going to go to uh the bottom one
20:37We have a stamp
20:40So, if we go to the stamp, you can see the different ones that we have it
20:42So, if we wanted it to be all at this one, we can go ahead and fill up this information for identity setup
20:49I'm just going to click put complete, but then I can stamp it wherever I'd like
20:54So, as I pick different ones, you can see how I can mark these up
20:58So, there's lots of different ways that you can add comments, markup uh to your documents
21:06This is great for collaboration, especially when you can assign people to
21:10Next, we'll take a look at how we can add a signature
21:17I forgot to mention, if you ever want to check your comments, just go over here
21:21You can see all the different comments
21:23You can edit and reply to them from this one place as well
21:27Now, if I go over to the signature, this is where I was a moment ago, I can click and add a signature here
21:32But like I said, there's multiple ways to get to the same thing
21:35We could go over to the side here and go fill and sign
21:37Now, what I can do is just add my signature
21:43And when I click on this, you'll see it opens up here
21:45And if I click on type, it just draws uh it'll just type in my name from what I have this registered as
21:52And I can change the style if I wanted it to be differently, I can make those adjustments
21:57But I can also go ahead, I'm going to just clear this, and I could draw my name in
22:01So, if I wanted to quickly scribble my name with my mouse here, like so, I could apply that
22:06Or I could grab it as an image that maybe I've taken, brought that in, and that will be in
22:12So, I'm going to have save signature, hit apply, and it's attached to my mouse
22:16Until I click, it will uh go
22:18So, if I click here, this is where it applied
22:21I can still move it around though
22:22So, as soon as I click off of it, I can size it as well
22:24So, I can get it right in the right place, or I can delete it
22:29Now, the nice thing is, since it's saved, if I want this again, I can just click on it, and I could sign something else, and I can place it wherever I would like
22:36We can do the same thing with the initials, and that can save you a lot of time if you have those long list of initials you have to do on a paper
22:43You can also save as a certified copy
22:46I'm not going to go through this in this one, but if you wanted to have that certified copy with an audit trail, you can save it here, and it will walk you through the steps
22:55I'm going to come out with a different video more about the security of using Adobe now
23:01And the other thing I want to point out, you can request e-sign e-signature
23:03So, if I click on this, notice that I can add the email and a name, and it will prepare the document for a place, it will get sent to them as a read-only, and it will get them to sign it
23:15So, I can add multiple people that would need to sign recipients, and I can click off this to say recipients must sign in order
23:24So, once you do that, and again, I'll do a different video that gets more into this type of the signatures on it
23:31But, this is a nice way just to quickly add a signature to your PDFs
23:33I have this image inside my demo files here
23:40So, this is just a PNG file
23:40You can see example pic.png
23:42I can't grab the text or anything
23:44I want to show you how you can take an image or a scanned document, bring it into Adobe Acrobat, and edit it
23:51So, I'm going to close this down
23:53I'm going to go to over to create, because since it's a PNG, I can't go to file go to menu and and open
23:58Open is only going to show me the PFDs
24:00I'm going to go to create
24:02I'm going to select the file, and in this way, I will see all the different files I can
24:07So, this is the example one I showed you
24:11So, now, I can just go ahead and click create
24:14Now, I do have this up here being mentioned here
24:17So, a scanned document has been identified
24:19Scan and OCR tool can turn scans or images into editable PDFs
24:23It even shows me a get started
24:23It brought me to, and I'm going to go back uh I'm going to go back a step here
24:29It just brought me to this over here
24:33So, at this point, you can see how you can enhance the scan file
24:35If I wanted to enhance it, this is one is pretty good
24:39So, it's clicked under recognize text
24:41As soon as I do that, what I notice is that I can highlight the text
24:47Before, I couldn't
24:47It didn't recognize it
24:49I'm not in edit mode
24:49Right now, I notice this is picking up as a picture
24:53Sometimes, I'll run through it again
24:56But, uh let's go back here
24:56I'm going to go to edit PDF
25:00And now, as soon as I click on this, it's performing our scan
25:03It's converted converting this into an editable uh PDF
25:08So, when I click in it, I can go to any of these and I can delete, I can write whatever I would like in it instead
25:15So, this came up as a picture
25:18Let's go back
25:20Sometimes what happens is if I go back to scan and well, we're going to try to enhance one more time
25:25I've done this before where it just uh second time when I come back and notice right now, I can select it
25:33So, now if I go back to my edit PDF, I bet you now if I click on it again, I can look at these
25:42I can recognize when I click in it, I can see text is coming up
25:46So, it's not an image anymore
25:48So, I can make any changes to this right here
25:51So, I just wanted to point out how you can take an image and you could be scanning things
25:56Uh even if it's as a PDF, you can open it as a PDF or uh create it as an image as well and use OCR and enhance it to pull out the text and edit it
26:07AI Assistant in Adobe Acrobat is going to save you a lot of time
26:11I'm going to demo it on some research papers, but you could apply this to so many different things whether it be in education or your business
26:20Over on the left, you can see there's AI Assistant and Generative Summary
26:22We have Ask AI here, Ask AI Assistant, and we also have the Generative Summary
26:27So, just different ways to get to the same thing
26:31If I click on Generative Summary here, what it's going to do is it is going to go through this paper and create a detailed summary
26:37And everything is going to be cited
26:39You're going to see the little numbers and when you click on the little numbers, it will take you to that part of the paper and it will show you where it's coming from
26:50So, here's the examples right here
26:50If I click on a number, it brings me to where it is in the document
26:55So, that's generative summary
26:57If I go to AI Assistant now, you'll get an idea of what it can do for you
27:03It can understand, get summaries, explanations
27:07It can analyze this document further
27:07It can even draft or enhance content based on this document
27:12It's even some even giving me some suggestions what I could ask it
27:16What I want to ask down here is what is the paradox mentioned in the title
27:21So, I can send that and it's going to go through this and find it
27:26And again, I like how it's cited right inside of this, so I can find exactly
27:32So, here's the where they mention the paradox
27:33We can see there's a few different sources and citations
27:35I click on it, it brings me to it, it's highlighted, easy to find it, so I can document everything's going to be based in this paper
27:44Now, the other thing is I can add more files
27:47So, if I was going to go on this computer, I have some more research papers here and I want to pick this one right here, alternative to electric
27:57So, now I have these two different files in here and I can go ahead after it processed the document
28:05I'm going to ask if if it can find any similarities between the two of them
28:10So, here's my questions
28:10Are there any connections between the two documents? I'm going to send this off
28:15And here's the connections that it found
28:17Now, notice as I hover over the different citations, I can see what paper it's coming from
28:21So, this one is the alternatives to electric cars
28:24If I cover over this one, this is the paradox one
28:28So, I can see they are actually pulling AI Assistant is pulling from both of these to find exactly what I'm looking for
28:34The amount of time this can save when you're research and looking through business files could be tremendous
28:39When you're all done editing your PDFs, there's a number of different ways that you can save it and share it
28:45Now, I want to point out one thing with saving
28:47I've been saving to my computer the entire time
28:49You can save to the cloud as well
28:52So, when if I click this, this would upload it to Adobe Cloud to save
28:58And then I can access it from any device as long as as I'm logged into my account
29:03If I go to my home, you'll see if I go to files, your documents, this is my Adobe Cloud storage here
29:09And this is the scan that I just when I click that cloud, it uploaded it to it
29:13So, not only on the computer, you can upload it to the cloud
29:18Now, the other thing I want to point out is we've been saving as PDFs, but you can export it as so many different things
29:26So, this PDF, I've showed you just to hit save and it will save as a PDF, but you can export this PDF too as a Word document, as an Excel document, as PowerPoint, as an image
29:38So, all of these different things you can export it as
29:41You'll also notice that you have things from reduced size PDF
29:47So, you can go through and make sure you get the final format that you need
29:53And that's a look at how you can use Adobe Acrobat to edit, organize, and even get help from AI assistant to understand your PDFs faster
