00:00Hello, school psychologists, licensed educational psychologists, or other psychologists who are looking for some tips and guidance on how to get started with using AI for your psychoeducational reports or other psychology reports, mental health reports
00:08My name is Suzanne
00:17I'm a licensed educational psychologist in California, and I'm also a school psychologist
00:25I've been a school psychologist in the public school system for about 17 years, and this is my 18th year
00:33I'm just getting started on a new way of life
00:36You know, as school psychologists and people in education, we always have to be learning, just like our students, and growing and becoming flexible
00:48And I know that if you are also sometimes struggling..
00:51Like Canvas Tunnel from all those reports, if you feel overwhelmed by reports and data after being at school all day, AI can probably help you out
01:07If you're wondering why you might want to start using AI to make things faster and better, then stay tuned for this video
01:16I'm going to start with my module one of the full course on using AI
01:20I use Bastion GPT, so if you haven't heard of it, it is part of ChatGPT, but it’s a HIPAA-compliant website that is specifically for doctors and mental health professionals
01:37It's not stored in the cloud, and it won't share student information with other systems because it's a closed system
01:43So, if you're interested in Bastion GPT, that's the one I tried after learning
01:52About different options, and I liked that it was HIPAA compliant
01:54Let's start with module one, where you'll learn about how I've been saving a lot of time, you know, on my teacher questionnaires, student questionnaires, and parent questionnaires
02:10The basic secret is to turn everything paper and pencil into digital formats
02:12That's also going to apply to your rating scales and anything else
02:19So I use Google Forms, and it's going to start right now, and you'll learn about how I am saving time and writing better reports using AI
02:28Hello, friends
02:37In today's video, I'm going to share with you, or in this video course, I'm going to be sharing with you some of the many steps that I take to make everything digital and to make using AI easy and breezy
02:45So let's begin
02:53I am a..
03:01School psychologist, I'm also a licensed educational psychologist, number four fifty-nine, and the first thing I’ve done this year to start using AI is I made everything digital, starting with my parent questionnaires, my student questionnaires, and my teacher questionnaires
03:08So, how did I do that? I turned all of my paper and pencil questionnaires into Google Forms
03:14Okay, I love Google Forms; they’re great
03:18I’ll just scroll through here—I have my Google Form up that I usually, um, that I created for this year, and you can really tailor it to different evaluations
03:31So, this is my school district one
03:33For my private practice, I have different kinds of questions
03:37I have two different parent form questionnaires, so I have a little summary
03:43Explanation to tell the parents exactly what you know what to do, and then I just have general questions, you know, first name, who are the people in your home, um, you know, any employment information that you want to ask
03:55Did the child attend preschool? Um, is there any private medical evaluation or diagnosis? Whatever questions you want to ask, um, that you like to include for your parent input, like home behaviors, family background, medical history of any family members with disabilities, behavioral concerns at home is really good to know about
04:20Uh, how does your child feel about school? And then, what does the after-school routine look like? I also ask about any other interests or hobbies, strengths, academic, you know, or non-academic
04:39Strengths, general mood, and so forth, and so on
04:42Then, those responses turn into a wonderful spreadsheet when the parent completes it, and you get an email
04:51You have to set it up so that your form will email you when it's completed, and just Google that
04:56You know, it’s not a tutorial
04:59As you can see, I have a few different parent responses, the parent going to respond, and it's going to go right to this beautiful spreadsheet
05:07So, this first row right here has all the questions
05:13What you're going to do is find your student and go to your AI that you're using
05:20Let's say that, um, you know, I’m using Bastion GPT because it's HIPAA compliant
05:26You can use ChatGPT, but you want to be careful of its..
05:33An OpenAI system, so you want to be careful not to put in the student's full name, or anything like that, or the parent's name, date of birth, any identifying information
05:42I purchased this; it costs about $20 a month, just so I feel like everything is secure and on a secure network, and I don't have to worry about breaking any HIPAA laws or anything like that
05:54I don't know anything about the School Psych AI one
06:00Maybe some people prefer that one, or, you know, I don't know if it's HIPAA compliant, so I didn't do too much research
06:07I just saw some videos, and I saw that this one is HIPAA compliant
06:11I knew another LEP psychologist who was using Bastion as their AI report writing helper tool, so I went with this one, and I'm..
06:22I'm pretty happy; I feel like it is doing a good job
06:24Uh, so let me show you exactly how I'm completing the different sections of a report from beginning to end
06:33The first part is the parent report, right? Family history, things like that
06:38So now that I have my spreadsheet, I'm going to copy the question
06:41I'm going to, let's say, work on this student down here, number eight
06:45All I'm going to do is move them up to the top, then copy the question and the very first row
06:53If you can see here, I'm copying it
06:56Okay, Control+C
06:59Now I'm going to go to my AI tool
07:02I’ve set it to a neutral position
07:06Um, I don't know, I’ll have to experiment more with it
07:10I'm not just going to copy and paste everything in there; I’ll give it some direction
07:14So, I’m going to start by— Saying, summarize the parent responses to the questions in a paragraph form
07:31You know, you could say one to two paragraphs, whatever you want
07:37Then, I put a semicolon—I don't even know if this is needed, but this is what I like to do
07:40I like to tell it to work in paragraph form because I'll show you without putting paragraph form first to see how it does
07:49Sometimes, it just kind of lists the responses, so we'll try it
07:53Those are the questions and answers, and it totally figures out which questions match with which answers
07:57Then, as you can see, it's providing it more like a list
08:02If that's the look you want, that's fine, and you just copy and paste it into your report
08:09If you want it more as a cohesive narrative, like two or three paragraphs, you can do that too
08:13I'll just direct it to write in paragraph form, so I don't have to recopy and paste it
08:24I just press enter, then scroll down and see what it's given me
08:31And yeah, there you go
08:37It's provided me with two sentences about our bedtime and about academic interests for this student
08:43Okay, and I'll do the same thing for the teacher questionnaire
08:46If you'd like to see that, I've created some questions
08:52Also, if you notice, I keep a lot of tabs on my top bar that I visit often
09:03To send it to the parent or teacher, all you have to do is click "Send," then click the little clipboard icon
09:14I like to shorten the URL, then press "Copy" so that it's not too long or lengthy
09:21And gross
09:23So now, um, let's say, and then I email the teacher, and I'll send them an email, you know, explaining that I'm testing them or the parent, and then I'll put the teacher questionnaire at the top, and then I'll put, like, my BASC, uh, computerized rating scales, Connors, ASRS—are the most typical ones I use
09:42Vineland—anything that can be digitally scored, I'm going to prefer over, uh, paper-pencil scoring, uh, rating scales because it's just going to save me time on sitting there, you know, tallying up, like, the one, two, you know, NS, A, O—you know, all that true/false and hunting them all up and hand scoring
10:03So, it's really going to save me time, you know, typing in all those responses
10:06I did it up until last year; I just completely transitioned to
10:13Everything digital this year has been pretty successful—I would say about a 98% success rate with getting my forms back, especially because when a parent or teacher does not return the forms, like they used to, and don't return my big envelopes with all of my paper and pencil rating scales, I just resend the email link
10:38Sometimes I'll even give them a call if the deadline is coming up
10:41I re-email all of the links that they didn't complete for me, or maybe sometimes they completed one or two, and I just say, "Oh, you forgot to complete this one
10:52I’m sure you meant to." Everyone checks their emails these days, and if you follow up with a phone call, you will get a response
11:01A pretty good response back, um, better from what I can tell than I was getting with paper and pencil
11:08So, other advantages of just going fully digital
11:13Okay, so here's my teacher questionnaire
11:15This is one that I created many years ago, and then this year I turned it into a digital version
11:19It just, you know, has all the different kinds of questions that you might want to use
11:30I'll scroll through it slowly, and if you want to pause each thing and do what I do, or if you want, and you purchase this course, you can email me, and maybe I'll send you a copy of this, or maybe I'll even include a copy of my questionnaires because I think that they provide good information
11:47I've been a school psychologist for like 17 or 18 years, so I kind..
11:56I want to know what questions I want to ask, what information I want to get, and I just started making my own things because I felt like the ones that were handed down from other psychologists weren't answering the questions I needed to know about
12:08So I'm very DIY and make my own stuff
12:16For this, it's a little bit complicated if you don't know a lot about Google Forms
12:21It's a great time to get proficient with it because I use Google Forms for everything—from data collection to all of these questionnaires and different behavior things
12:36So, I have all the accommodations the teacher is providing and any additional comments
12:41Here are the teacher responses I..
12:47Blacked out the names here, and yeah, so the same kind of thing
12:54You know, just copy and paste the top row or whichever student you need
13:00Just move them around; if that's not the right student, you want to just put the one you're answering the question for at the top so you can copy and paste the questions
13:06The same kind of thing, you know
13:09Then you go into your AI and you type, you know, summarize the teacher responses and then put them down
13:21I think if you have spelling errors, you know, you're in a hurry
13:26I have also noticed, too, if you look here — I’m going to start again just so you can see — it does have a microphone
13:33So, the microphone is on
13:40Let's see, it saw it copied my thing, so if you really don't even… if you really don't
13:47You can even want to type; you can click the microphone and give it instructions, so let's see how it goes
13:54Summarize the teacher's questionnaire for the following responses, and then turn off that microphone because if you start talking, it's just going to keep going
14:11Okay, copy and paste, and then there we go
14:14Okay, I didn't copy the whole thing, so it's not that long, but you can see the teacher rated her great for this and that, and then it provides the details
14:24If you don't like it, you can say, um, you know, to add or summarize in two paragraphs with more details
14:41Let's see what it does
14:43It comes up with something, but it does say at the top of this AI interface, if you… I'm going to go to the top
14:50I'm going to do this
14:56It says: warning, Bastion GPT may… Produce inaccurate information about people, places, or facts, so that means it's giving you, uh, you know, a caution sign that just because you direct it to something, it can't just make up your responses
15:13So I'll go into that more later when I show you my style for typing up, uh, rating scales
15:20If you liked, uh, this module one tutorial on how to, uh, get going on using your Bastion GPT or ChatGPT or whatever AI that you would like to use for writing up your reports for parent and teacher summaries, but would like to see exactly how to do it and how to learn, uh, how to use AI for writing up your cognitive results, processing results, and the BASC and Connor rating scales, I go through an entire report
15:52I also use the AI for writing my eligibility
15:55Statements, my recommendations, and I show you how to write up goals for your students using the information that the AI is going to learn about your student as you're writing the report, and how to give it direction and make things a lot quicker and better so that you have a really great, cohesive report that explains the child throughout it and supports your case for eligibility, or maybe even indicates no eligibility
16:25Just click the link below if you'd like to check out the full course or if you want to learn about Bastion GPT and try that free trial
16:31It's just in the link below, and maybe I'll even put it in the comments—you can just click on it, and it'll take you right there so you can try it for yourself
16:39Okay, thanks! [Music]
