thumbnail This section explains how to quickly insert Zotero citations and references into a Microsoft Word document using the Zotero add-in.

1.1. Steps to Insert a Single Zotero Citation [0]

  1. To insert a reference, ensure both Microsoft Word and the Firefox web browser are open [1].
    1. Zotero itself does not need to be open for the add-in to function [2].
  2. Navigate to the desired insertion point in your Word document [3].
  3. Go to the Add-ins tab in the Word ribbon to find the Zotero custom toolbar [3].
  4. Click the "Insert Zotero Citation" button on the far left side of the toolbar [4].
  5. Choose the American Psychological Association Sixth Edition as the reference style [5].
    1. No other information on this window needs to be changed [6].
    2. Click "OK" [7].
  6. Select the Zotero Classic View [8].
    1. This view displays all saved Zotero references [9].
    2. Click on the desired reference [10].
    3. For APA style, simply click "OK" without adding page numbers or other information [11].
  7. The citation will be placed into the document in the correct format [12].
    1. This process can be done while typing [13].

1.2. Inserting Multiple Citations and Suppressing the Author [14]

  1. To insert citations from multiple sources, click "Insert Citation" and select the Classic View [14].
    1. At the bottom of the window, click "Multiple Sources" [14].
    2. Select the desired sources, which will be moved into the window [16].
    3. Click "OK" [16].
    4. The citation will be inserted in the correct order and format for APA style [17].
  2. To suppress the author's name in a citation (e.g., if the author is already mentioned in the sentence), go to the Classic View and choose the source [18].
    1. Click "Suppress Author" and then "OK" [19].
    2. This will insert only the date, as the author's name has already been stated in the sentence [19].
